Bookings, Cancellations and Refunds
This policy applies to all courses and events listed in the Event Calendar.
1. Booking and payment
1.1 Your booking is made when you complete our online booking form and pay the course fee in full. Your place is not confirmed until we email you a booking confirmation.
2. Your right to cancel within 14 days (individuals only)
2.1 If you are a consumer, that is, you are booking as an individual and acting wholly or mainly outside your trade, business, craft or profession, you have a legal right to cancel your booking within 14 days and receive a full refund of everything you have paid, including the Booking Fee. This right does not apply to bookings made by or on behalf of a business.
2.2 The 14 days begin the day after we send your booking confirmation (Cooling Period). They are calendar days: they run continuously and include weekends and bank holidays.2.3 You do not need to give a reason. To cancel, tell us in writing at admin@ncca.co.uk.
2.4 This right applies alongside clause 3. The two are measured differently: this clause runs from the day after your booking confirmation, and clause 3 is measured against the start date of your course. Where both apply and give different results, you will receive the higher refund. You will not receive a refund for both.
2.5 There are situations in which this right is affected. These are dealt with in clause 5, and in each case we will explain the position and obtain your agreement at the point of booking.
3. Cancelling or moving your booking
3.1 This clause 3 applies to all bookings and applies after any period under clause 2 has ended.
3.2 If you cancel, the following applies, measured against the start date of your course or event:
(a) 20 days or more before the start date: we will refund the course fee in full, less the Booking Fee.
(b) Between 6 and 19 days before the start date: we will refund 25% of the course fee to you.
(c) 5 days or fewer before the start date, including cancellation on the day: no refund is due.
3.3 If you do not attend the course or event and have not cancelled, no refund is due.
3.4 The amounts we retain under clause 3.2 reflect costs we have committed to by the relevant point, including trainer and venue costs, administration, and preparing and issuing your course materials.
Moving your booking
3.5 If you ask 6 days or more before the start date, we will move your booking once, subject to availability, on payment of a transfer fee of £25.00 A booking that has been moved cannot be moved again, and clause 3.2 will then apply by reference to the new start date.
4. If we cancel or change a course
4.1 On rare occasions we may have to cancel a course or event. We will tell you as soon as we can and refund the course fee in full, including the Booking Fee.
4.2 If we change the date of a course or event, you may transfer to the new date at no cost, or tell us within 7 days that the new date is unsuitable and receive a full refund, including the Booking Fee.
4.3 We will make any refund within 14 days, using the same payment method you used to book unless you agree otherwise. We will not charge you a fee for making a refund.
4.4 We may change the trainer delivering a course or event. This does not entitle you to a refund, provided the content of the course remains materially the same.
5. Course materials
5.1 We will issue your course materials once your cancellation period under clause 2 has ended. Where clause 2 does not apply to your booking because it is made by or on behalf of a business, we will issue your course materials 15 days before the course.
5.2 If your course is due to take place before your 14-day period ends, we will ask you at the point of booking to confirm that you want us to begin providing the course within that period, and to acknowledge that once the course has been delivered in full you will no longer be able to cancel under clause 2. We will provide your materials to you at the course. If you cancel before the course takes place, we will refund what you have paid, less a proportionate amount for anything we have already provided.
6. Intellectual property
6.1 All course materials, including any documents, glossaries, recordings and content shown or supplied during a course, are our copyright or are licensed to us. They are provided for your personal use in connection with the course only. You must not copy, share, publish, resell, or use them to train anyone else.
6.2 This clause continues to apply if you cancel your booking or do not attend, and after your course has finished.
